The website and functionalities
You visit the website www.thelimetree.nl for information about services we provide and arrange a number of practical matters via the site through the functions the website offers. You register for a newsletter, you request a whitepaper, a brochure or a quote for the cost of one of our services. You enrol for a workshop, an information session or a training. You fill in an evaluation form or seek contact with us via the contact form. By using these functions, amongst others, you leave online tracks or leave personal details with us.
We analyse the (anonymised) visitor behaviour in the website in order both to improve our services and how we sell them.
Conscious informing and security
The Lime Tree is obliged to inform you about the way we deal with personal data. This covers what will happen to it and the for which it is used as well as how it is stored and secured. This is set out in this privacy statement. We have done our best to set this compactly out in a transparent and understandable way.
Should there be anything unclear in this statement or if you have concerns about our privacy statement, questions relating to how we process personal information or if you wish that we correct your personal information, then please contact us.
How do we deal with your personal data?
We do our very best to deal carefully, confidentially and respectfully with your personal data. As an example: If you register for a newsletter we only use the data for that purpose. If you fill a form in and send it to us we use the details from this form only for what you have requested or enrolled for, unless we have stated this differently on the form. With some forms you have an option to pick and choose things such as receiving the newsletter. Should you choose this then we use your personal data also for that purpose. Your personal data is not sold to third parties.
Which personal data does this relate to?
By visiting the website , or filling in a contact form and / or you use The Lime Tree services, your personal data will be processed by us: These are the details that you fill in yourself on the form and include , amongst other things, your first and last names, address details, telephone numbers, email addresses. In addition your IP address is registered ( the address from where the website has been visited, in other words the internet connection) and details of your activities on the website. If you share information (personal data) with us on the telephone, we can put this in our administrative system, with the purpose of improving our services.
Why do we request personal data?
The reason is to be able to perform the services we offer. This can vary from putting a quote together or mailing an attendance sheet for the trainer to use. We use it as well to maintain contact and to inform you about our services that are related to the registration/ request. Contact us if you don’t want this.
Where is the personal data stored?
Your personal data is stored in a secured network, in secured software both for mediations and trainings in the CMS from our website and/or our online tool for creating and sending newsletters.
With whom is the personal data shared?
We share personal data exclusively with third parties where this is necessary due to legal requirements or when there is a justifiable business need. With whom we will share your personal data depends on which The Lime Tree service(s)you want to use. To be clear to you we have set these third parties out in bold type here in this document.
With organisations who process your personal data under our instructions, we have entered into a data processing agreement to ensure, in our view, a suitable level of security and confidentiality for your (special) personal data. This could include, for example, businesses where we use software such as the supplier of our newsletter software and our IT partner who manages our secured business network.
In addition you could also see the use of tracking cookies as sharing your personal data. Through using our website, you agree with our cookie policy and give us, amongst other things, permission to collect and share personal data with the third parties where we place tracking cookies. See for more information cookie policy.
Trainings
Personal data you have given us relating to trainings, training brochures, white papers, or for workshops or information sessions, is processed by us in our secured CMS and the secured administrative system that we use for trainings.
The private and business NAW, email addresses and telephone numbers that you have supplied to The Lime Tree will be used to create participants and attendance lists for the trainers for the relevant trainings and are visible for other course participants.
For some training sessions or events, you can only register if you pay online. We use Mollie for this. Mollie is the payment provider, and we use the payment method iDeal. When paying through Mollie, your (payment) information is stored on Mollie’s platform; we can access the information on that platform by logging into the secure environment. Some of that data is then also transferred to our secure administration system.
During a training it can occur that your personal data is visible to other course participants. For example this could take place because the trainer lets participants and/or attendance lists circulate amongst course participants to check whether the personal data are up to date and accurate.
We share written personal data only if we have your consent. During a training sometimes course participants ask if the participants list can be shared with each other: it is then up to you to give consent, should you be in agreement, to The Lime Tree to share your personal data with the other course participants.
At some trainings films are made. These films are shared with training attendees via a hidden link on YouTube, unless you let the trainer know that you would rather not that this take place.
If you do not object to this with the trainer, the films which have been made about you will be put on a hidden channel from You Tube and will be shared with other participants from the training.
The film is not made public: only a person with the correct link is able to watch your film.
Should you make a film with us for the video assessment from www.mediationtoets.nl, we share the film with you via WeTransfer. This means that you agree to the terms of use and cookie policy from WeTransfer. If you have any objections to this, let us know prior to the time of filming; we will discuss with you then the options you have.
Finally there are still a number of other situations where your personal data could be shared with third parties. We do this only with your permission. An example is the publication of training evaluations online from the Feedback Company. We do this only if we have written permission from you. By giving us this you agree to the Privacy Policy of the Feedback Company.
Mediation
Personal data that has been forwarded to us for quotes, brochure or a confirmation of contract to start a mediation will be processed by us in our secured CMS and the secured administration system that we use for mediations.
The Lime Tree works with a national network of mediators. These mediators are independent and registered with the MFN. The mediators are required by The Lime Tree to work in accordance with applicable (privacy) laws and MFN rules. This means that you will be sent the mediators’ (own) privacy statement in which it is set out how personal data will be processed. The mediators’ privacy statement is separate from and in addition to this privacy statement.
The Lime Tree sends the completed registration form you have filled in to an intake mediator. The intake mediator uses this personal data to undertake the intake. If you are interested to know what kind of personal data will be required to be filled in on a registration form, please contact us.
Other/extra personal data, other than obtained from the initial registration form is processed by The Lime Tree and can, should The Lime Tree consider it relevant, be passed to the mediator in the case in question. The Lime Tree will only do this should parties this involves, give permission.
The Lime Tree will send the completed registration form with eventual additions from the intake mediator to a mediator.
Confidentiality
The discussion that parties to a conflict have with each other and their content is not shared with The Lime Tree. The Lime Tree receives at the end of the mediation from the mediator a procedural form to close the mediation. This closing form is shared with the client, contract party who initiated the mediation and possibly the referrer.
If you are interested to know the personal data that is required to be filled in on a closing form, then contact us.
Evaluation
In order to continually improve our services, The Lime Tree sends at the end of each mediation an email to the mediation parties with a request to fill in an online evaluation form. This evaluation is also shared with the mediator in the case.
How can you inspect your personal data, modify it or have it deleted?
You have the right to inspect your personal data, to correct it or to have it deleted if we don’t need it any more for the purpose for which it was collected. It can be that we have an interest in keeping your dossier longer, for example, due to a legal requirement to save it for a particular period or because of fraud. In this situation it can be that we can’t, or can’t completely, comply with your request.
Besides this you have the right to withdraw your permission for the processing of personal data or to object to the processing of your personal data by The Lime Tree. Contact us if you wish either of the above. To avoid misuse here, we will ask you to provide adequate personal identification.
You also have influence relating to the cookies that we place. The permission that you gave us for the placing of cookies can also be withdrawn. This can be done on the page with our cookies policy. Here you will find more possibilities for the deleting and blocking of cookies.
How is your personal data secured?
We work together with a professional IT provider who ensures that all our apparatus and software is secured with the appropriate and necessary technical measures.
We also work together with a professional company which applies all necessary measures to maintain and secure our website. An example is the use of an SSL-certificate. An SSL certificate can be recognised by the lock or word “veilig” (safe) in the browser bar.
How long is your personal data kept?
It depends on which personal data you have left with us and for which reason. The general rule is always: no longer than is necessary to realise the purpose for which the personal data was collected. We comply with the law and applicable rules from the professional associations we fall under. As an example, we are required to save our administration, such as invoices with address details for a period of seven years.
The Lime Tree takes the protection of personal data very seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted publications and unauthorised changes. Should you have the impression that your personal data is not properly secured or there are indications of misuse, do not hesitate to contact us.
